Privacy Policy

Effective October 15, 2026

This Privacy Policy explains how 3 Elements Design, Inc. (“we”, “us”) collects, uses, and shares information when you use Field Looker Pro (the “Service”). It applies to business users (owners, staff, crew) and to the customers of those businesses who use the customer portal or receive messages sent through the Service.

1. Information we collect

  • Account information — name, email, phone, password (stored hashed), role, and business details such as company name, address, logo, and brand colors.
  • Business data you enter — customer records, addresses, service history, schedules, proposals, invoices, payments, photos, notes, and marketing content, including AI-generated text and images.
  • Integration data — when you connect QuickBooks Online or a Facebook Page, we receive the data needed to sync records or publish posts. Access tokens for those services are held by our integration provider, Composio, not stored by us.
  • Usage and device data — log data, approximate location from IP address, browser type, pages viewed, and usage events that drive metered billing.
  • Payment information — handled by Stripe. We store a reference to your Stripe customer and subscription, never full card numbers.

2. How we use information

  • To provide, operate, secure, and support the Service.
  • To send transactional messages on your behalf (invoices, reminders, service notices) and, when you choose, marketing campaigns.
  • To generate content you request with AI models, using the details you provide.
  • To measure usage for billing and to improve the product.
  • To communicate with you about your account, updates to features, pricing, or these terms.

3. How we share information

We do not sell personal information. We share it only with service providers that process it for us:

  • Supabase (database, authentication, file storage) and Vercel (hosting, file storage).
  • Stripe (billing) and Resend (email delivery).
  • Composio (integration connections) and, when you connect them, Intuit QuickBooks Online and Meta (Facebook).
  • Google Analytics and Vercel Analytics (usage measurement — see Cookies below).
  • Google (maps, routing, and AI text models via the Vercel AI Gateway) and Northlit (AI image generation). Prompts sent to AI providers contain the business details and text you enter for that request; they are not used to identify your customers.
  • Authorities or others when required by law, or to protect our rights, our customers, or the public.

4. Customers of businesses that use the Service

If you are a customer of a business that uses Field Looker Pro, that business controls your information and is responsible for its accuracy and for the messages it sends you. We process it on the business's behalf. Every marketing email includes an unsubscribe link; transactional messages such as invoices are sent because you have a service relationship with that business. To correct or delete your information, contact the business directly, or contact us and we will pass the request along.

5. Retention

We keep account and business data while the account is active and for a reasonable period afterwards so it can be restored or exported (typically 30 days after closure), unless a longer period is required by law. Usage records needed for billing are kept as required for tax and accounting purposes. Email logs are kept for a limited period to support delivery troubleshooting.

6. Security

Data is encrypted in transit and at rest by our infrastructure providers. Access within the Service is restricted by role and by business, so one business cannot see another's data. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as required by law.

7. Your choices and rights

  • You can view and update your account information in the app at any time.
  • You can export or delete your business data by contacting us.
  • You can disconnect integrations at any time from Settings → Integrations, which revokes our access.
  • Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal information. Email us to exercise them.

8. Cookies

We use cookies and similar storage to keep you signed in, remember preferences such as your selected view, and secure the Service. We also use Google Analytics, which sets analytics cookies, to understand how the Service and our public pages are used — for example which pages are visited, where visitors come from, and when someone signs up or submits a request. We don't send Google names, email addresses, phone numbers, street addresses, or record identifiers; page addresses are stripped of IDs before they're sent. Google Signals and advertising personalization are turned off, and we do not use third-party advertising cookies. You can block analytics cookies in your browser settings or with Google's opt-out add-on.

9. Children

The Service is for businesses and is not directed to children under 13. We do not knowingly collect their information.

10. Changes

We will post updates to this policy here and, for material changes, ask the business owner to accept them for the business and other users to acknowledge them for their own use in the app, as described in the Terms of Service.
